Court Reporter – Frequently Asked Questions

Q: Where can I find my open transcript due dates for all cases?

A: All open transcript due dates can be found on the Court of Appeals, Division One website. See the “Case Status” window on the Home Page of the Court of Appeals, Division One website and select “Court Reporter Transcripts Due Index”.

 

Q: How can I make changes to the email addresses/or the addresses that documents are sent to?

A: You can fill out a Court Reporter’s Change of Address form, include updated information in your next filing, or send a letter to the court of appeals with the information you wish to update.

 

Q: Who do I bill for this transcript?

A: The Court of Appeals does not address or advise on how to proceed regarding billing for transcripts.

 

Q: Am I allowed to submit a transcript that I produced in the past for the same date and case?

A: If the transcript has been produced in the past, a transcript with an updated case caption is preferred, but the transcript will be accepted in its current state as long as the lower court case number matches. Please keep in mind each separately-numbered Court of Appeals matter is an independent case, and must contain a complete record under ARCP 31.8 and RPJC 604(a).  Transcripts previously filed into a separate case number are not applicable or transferrable to another number, as each file must contain a complete record.

 

Q: I submitted a transcript that covers two hearings that took place on the same day. Am I able to have that transcript satisfy the two due dates it covers?

A: If the transcript contains the two hearings and they are easily identifiable within the transcript and both hearings are listed in the title, that transcript can be used to satisfy both due dates with the one transcript.

 

Q: I received a delayed notice of appeal; can you give me more time?

A: The Superior Court is responsible for sending out the court reporter notification regarding new appeals. Due dates are governed by Court Rule and cannot be changed without a court order.  Those wishing to request an extension of time may be aided by the Motion for Extension of Time Forms available on the Forms page of the court’s website. 

 

Q: I produced the transcript; however, I do not see the due date on the docket?

A: If the transcript is a required transcript or was directed to be filed per an order, please submit the transcript. The Clerk’s Office can add the due dates in after the transcript has been taken in.

 

Q: The transcript I must produce is sealed or contains a portion that is sealed, how do I submit it?

A: If the transcript is sealed, please file the sealed original and one copy in paper at our front counter. If a portion of the transcript is sealed, you may file the original sealed portion of the transcript and one copy in paper at our front counter and the unsealed part of the transcript through TurboCourt.  Currently, sealed documents must be filed in paper (with an original and one copy) and are not permitted to be efiled.

 

Q: I noticed that there is a mistake (Court Reporter, incorrect date, etc.) on the Superior Court Minute Entry, How can I get that corrected?

A: If a Nunc Pro Tunc order (or similar) is filed by the Superior Court correcting a minute entry , a court reporter is welcome to file that minute entry with the Court of Appeals. The Court of Appeals can only use (and make changes based on) dates indicated on official superior court minute entries.

 

Q: I made an error on the cover page of my transcript. What can I do to correct it?

A: If the filing has not been accepted for filing, you may call the Clerk’s Office and for the filing to be rejected so that you may refile with the corrections made. If the submission has been filed, you have two options you can  file an amended transcript or file a corrected cover page. The Clerk’s Office will not alter any document that has already been filed.

 

Q: Am I able to submit a transcript on behalf of another court reporter?

A: Yes, you may file a transcript on behalf of another Court Reporter. Please make sure that the transcript is compliant to ease processing.

 

Q: I have submitted transcripts under my preferred name and not my legal name, is this an issue?

A; Please use the name reflected on the Superior Court Minute Entries on your submitted transcripts. The Superior Court Minute Entries is what we use to set up the Transcript due dates.


Criminal

Q: Why are my due dates still present on the docket of a criminal case if I received an order for financial arrangements from the court?

A: The transcript due dates stay open for tracking purposes for the Court of Appeals. The transcripts are not due in the case until further order from the court.

 

Q: How do I know which transcripts I am required to produce for criminal proceedings?

A: Please see Rules 31.8(b)(1)(B) and 31.8(c) of the Arizona Rules of Criminal Procedure to determine which transcript(s) you may need to file into a case.  Parties in the case may also supplement this list pursuant to Rule 31.8(b)(2).

 

Q: I received a notice in the mail, and I would like to make the court aware that a court reporter has passed away. How do I do that?

A: Under Ariz. R. Crim. P. 31.2(g)(3), the Court of Appeals is required to send a notice upon initiation of a new criminal direct appeal that notifies parties of the appellate court case number. In appeals of some older matters, some court reporters may have passed on since the trial dates. We can remove your name from future distributions, but if you are willing to provide an obituary or some other formal notification of the passing it may assist us in that process. If you do not have access to those records, please file an affidavit with where to find those records.

 

Juvenile

Q: How do I know which transcripts I am required to produce for juvenile proceedings?

A: Please see Rule 604(a)(2)(A-K) of the Arizona Rules of Procedure for the Juvenile Court to determine which transcript(s) are required.

 

Q: When are transcripts due for juvenile proceedings?

A: Transcripts must be filed no later than 30 days after the filing of the notice of appeal.  See Rule 606(d) of the Arizona Rules of Procedure for the Juvenile Court for other provisions and requirements.

 

Q: How do I request an extension of time to prepare transcripts for a Juvenile Appeal?

A: Review Administrative Order 2024-03.  The Court will grant an initial extension of 30 days upon a showing of good cause. The Court will grant a second request for an extension only upon a showing of extraordinary circumstances. In the event that the Court grants a second extension, the order states that if the court reporter does not file the transcript by the new deadline, the court reporter must appear at a hearing before the Court and show cause why the Court should not impose sanctions.  A “Request for Extension of Time to File Transcript” form is available on the Court of Appeals, Division One website.
